Ad click to CRM in under 60 seconds

You run paid ads. Someone downloads the forms, pastes them into a sheet, picks a rep and builds the CRM record. Leads wait hours.

Before and after.

Leads sat inside Facebook until someone downloaded them, pasted them into a sheet, chose an account manager and created the CRM record. That took 15-20 minutes per lead on a good day and until the next morning on a bad one, and the same two reps got most of the leads.

  • 15-20 minutes of copying per lead

  • No record of who owns what
How it works

What we built, step by step.

Step 1

Capture the form instantly

The moment someone submits a lead ad form, their answers are captured and written to a central tracking sheet.

Step 2

Check for duplicates

Before creating anything, the system checks email, mobile and registration number, so resubmitted leads are caught and skipped.

Step 3

Assign the next rep

The system reads the assignment log and gives the lead to whoever is next in the rotation. Leads are handled one at a time.

Step 4

Notify in seconds

The CRM record is created under the assigned rep, who gets a Slack mention with a direct link. The team lead gets an email summary.

The full story

From busywork to running on its own.

The problem

Leads sat inside Facebook until someone downloaded them, pasted them into a sheet, chose an account manager and created the CRM record. That took 15-20 minutes per lead on a good day and until the next morning on a bad one, and the same two reps got most of the leads.

What we built

We built two workflows that capture each form the moment it is submitted, check email, mobile and registration number for duplicates, and pick the next account manager in a fair rotation. The CRM record is created under that person, who gets a Slack mention with a direct link, while the team lead gets an email summary.

What changed

Response time dropped from hours to under 60 seconds, with no manual data entry. Every account manager gets an equal share, and the tracking sheet doubles as a live record of who owns each lead.
