802 at-risk accounts messaged in one run
You carry hundreds of accounts. By the time you notice a subscriber has stopped using their credits, the renewal talk has become a winback.
Before and after.
In a credit-based subscription, customers who stop using what they paid for usually churn. Account managers carried hundreds of accounts each, so checking balances every week was not realistic, and quiet accounts were noticed too late.
- Balances checked by hand, if at all
- Quiet accounts slip through the cracks
- Renewal calls turn into winback calls
- Low balances found automatically
- A personal WhatsApp with balance and renewal date
- Account managers stop scanning spreadsheets
What we built, step by step.
Pull every active account
The system fetches all active and renewable accounts with their names, numbers and renewal dates.
Match live balances
Each account is matched to its live credit balance, and anything under the alert threshold is flagged for a message.
Test before the big send
A small test run checks message formatting and delivery before anything goes to the full list.
Send a personal WhatsApp
Each at-risk account gets a calm, personal message with its own username, balance and renewal date. No pressure, no hard sell.
From busywork to running on its own.
The problem
In a credit-based subscription, customers who stop using what they paid for usually churn. Account managers carried hundreds of accounts each, so checking balances every week was not realistic, and quiet accounts were noticed too late.
What we built
We connected three sources that had never been joined: the account sheet, the live balance data and WhatsApp Business. The system pulls active accounts, looks up each current balance, and sends every account under the threshold a personal message with their username, balance and renewal date. A test run on 4 accounts checked the formatting before the full send.
What changed
802 at-risk accounts, 35% of the 2,267 in scope, got a timely personal message in a single run. Account managers got back the time they spent scanning sheets, and the same setup can watch any threshold, metric or market.
