Session summaries checked before coaches see them

You record every coaching session. Turning long transcripts into commitments and next agendas is slow, and early AI summaries stated things nobody said.

In their shoes · Coaches following up after client sessions

Before and after.

An executive coaching firm records every client session, but the value is in what comes next: commitments, the next agenda and follow-up. Doing that by hand from long transcripts was slow and inconsistent, and early AI summaries sometimes stated things that were never said.

How it works

What we built, step by step.

Step 1

Bring in the recording

Each session transcript arrives from the recording tool and is cleaned up before any AI step.

Step 2

Pull out discussion points

Commitments, homework and next agenda items each become their own tracked item, linked to the session and client.

Step 3

Check against the transcript

A review agent compares the summary with the transcript across 8 kinds of mistakes. Problems are flagged, never passed through quietly.

Step 4

Send to Gmail

The coach reviews the overview and turns it into a client email draft with one button.

From busywork to running on its own.

The problem

An executive coaching firm records every client session, but the value is in what comes next: commitments, the next agenda and follow-up. Doing that by hand from long transcripts was slow and inconsistent, and early AI summaries sometimes stated things that were never said.

What we built

We built workflows that clean each transcript, pull out discussion points, draft the session overview and turn every takeaway, homework item and commitment into its own tracked item. Before a coach sees anything, a review agent checks the summary against the transcript for 8 kinds of made-up content and flags problems.

What changed

Coaches get overviews the same day and can turn one into a client email draft with a single button, now rolled out to every coach. Items only close after both an AI check and a human check, and re-running a session never creates duplicates or overwrites a coach's edits.
