3 TB of recordings moved, $0 in licenses

Your video account is full. Cloud recording is switched off, and seven years of client sessions sit on a plan sized for a fraction of them.

In their shoes · A firm with years of session recordings

Before and after.

An executive coaching firm had nearly 3 TB of recordings on a video platform plan sized for a small fraction of that, so cloud recording had been switched off. Off-the-shelf migration tools cost money, and some recordings were bigger than the destination's upload limit.

How it works

What we built, step by step.

Step 1

List every recording

Every recording goes on a checklist, so the job always knows what is done, what is next and what failed.

Step 2

Stream straight to storage

Each file streams from the video platform into cloud storage without being saved in between, so size limits never block it.

Step 3

Daily updates in Slack

The job runs day and night on its own server. A heartbeat monitor and daily Slack updates keep it visible without anyone watching.

Step 4

Every file verified

When it finished, every file had been moved and checked, and the video account was cleared for new recordings.

The full story

From busywork to running on its own.

The problem

An executive coaching firm had nearly 3 TB of recordings on a video platform plan sized for a small fraction of that, so cloud recording had been switched off. Off-the-shelf migration tools cost money, and some recordings were bigger than the destination's upload limit.

What we built

We built a small always-on server that lists every recording as a checklist, then streams each file straight into cloud storage without saving it in between. It can stop and resume safely, and a heartbeat monitor, a live progress page, daily updates and Slack alerts keep it visible.

What changed

3.04 TB and 36,118 files moved, preserving about seven years of client history in the firm's own storage. Recording capacity is back, and the whole job ran without any new software licenses.
